The Challenge

After two years in an overheated data center a company was relocating to new facilities. This was an opportunity to start over and design it to current standards with anticipation for future technologies. Major projects included replacing six and seven year old servers with new virtualized servers, design a new data center from the ground up to meet the cooling and electrical requirements for today and provide capacity for future growth and in compliance with industry standards. Other opportunities included upgrading the capacity and reliability of the core data and voice switching systems, and the routing infrastructure. Install “High Availability hardware configurations, and upgrades to online vaulting and co-location services were addressed. And finally, an upgrade to the six year old SAN, with one that was less expensive, had greater capacity, would cost less to maintain, and could interface to multiple topologies including the existing fiber fabric and new iSCSI switches for connectivity over IP.

The Solution

A project plan with a complex critical path was developed. Records governance, vendor selection for RIM software, and conversion of free-form-text records data occurred concurrently. Retention schedules were consolidated and narrowed into one master schedule for inclusion in the new structured records database. A vendor selection process produced RIM software, which was installed for acceptance testing.

The Result

The RIM system installation was completed as planned. Records information could be shared within the entire company, fewer Records clerks were required to support the company, and the Records department provided significantly improved service levels, while reducing costs. The RIM system was also a key component of The IT Director’s strategic plan to implement an ECM Lifecycle system.
